Hiring a Real Estate Assistant Puts You In Control

Wednesday, October 31st, 2007

Some people still function with the illusion that if you want something done right you’ve got to do it yourself. Unfortunately, when you’re not willing to let go, strange things start happening.

In real estate, when you try to do it all yourself, you’re going to find that you can’t answer the office phone and be in the field. You’ll find that there are a number of challenges when you try to focus on both online and print marketing – especially if you try to apply the same strategy to both. Worst of all, the more that you try to do everything for yourself, the less time that you’re going to have for your clients – and your family.

Instead of getting things done, you’re probably just going to lose control. Things will slip through the cracks; you’ll end up stressed out, eating on the run, not getting enough sleep and, eventually, you’ll find that your business suffers.

The alternative is to take control of your business by bringing on a real estate assistant. When you hire a real estate assistant, you’re going to find that things are still done, but there’s less chaos. When you hire someone to work on a particular task – say, online marketing – they’ll be able to put their expertise to work for you.

In other words, sometimes the only way to get something done right is to know when you could use a little bit of help. Sometimes the only way to get control over your real estate business is to find the help you need – a service that a real estate assistant can provide.

Late to Appointments? A Real Estate Assistant Can Help

Tuesday, October 30th, 2007

It happens to everyone once in a while – there’s something that comes up at the last minute and the next thing you know you’re running late to a meeting with a client. Sure, you call and the buyers say that they understand, but in your gut, you know that things would be better if you were on time.

It’s true: there are always going to be things that come up at the last minute. Sometimes being late is inevitable – a traffic accident ahead of you, a seller calling, panicked because the perfect buyer couldn’t get financing secured. But what about the other times?

Or worse, what about those of you who, no matter what you do, can’t seem to get to appointments on time?

You need a real estate assistant, someone who can tie up loose ends, remind you that there are scheduling needs that you must meet and maintain your calendar so that you aren’t tempted to squeeze in one more appointment just because you think that there’s time for it (especially when everything in your gut says that there’s no way it can actually happen).

With a real estate assistant on your side, you won’t just have someone who plans your days and minds your schedule; you’ll have someone who is there to help you get things accomplished in the most efficient way possible.

A Real Estate Assistant Gives You a Chance to Spend More Time in the Field

Monday, October 29th, 2007

No matter what size your real estate business is – whether you’re a one agent operation or you’re one of 20 agents working at a brokerage – there’s one assumption that is always a safe bet: if you’re at your desk, you’re not in the field with buyers and sellers. That means that you’re not being as well compensated for your time as you could be.

The problem is that you can’t just let all of the paperwork pile up on your desk for the sake of getting out in the field. You can’t neglect customer service – and that means that phone calls and emails need to be answered. You can’t let listing coordination tasks go undone, and you can’t forget about marketing your services because otherwise you might find that the leads start to dry up.

How do you make sure that you’re getting everything done and still spend as much time as possible in the field? One thing that you can do is make the choice to work with a real estate assistant.

Working with a real estate assistant can make sure that you know what to expect from your day (at least for the most part). It can help to make sure that your clients’ needs are being met and that their questions are being answered. With a real estate assistant, you’ll find that you’re able to focus on the parts of the real estate business that got you interested in it: helping sellers sell and helping buyers find the right homes; you’ll also know that everything else is being done too.

Get Out of the Habit of Being Your Own Real Estate Assistant

Sunday, October 28th, 2007

Be honest: what do your days look like when you head into the office? Do you have to scan through more than a dozen emails from clients and prospective buyers and sellers in your area that had come in overnight? Do you have to take a long look at your schedule to find out if there’s room on your calendar to fit in one more meeting? Do some aspects of your business seem to suffer just because there aren’t enough hours in the day to keep up with everything?

When you don’t have a real estate assistant, you have to be your own administrative staff. When you factor in the chaos that almost everyone in the real estate business experiences, this makes your job a lot harder than it needs to be.

When you’re working with a real estate assistant, on the other hand, you’ll find that it’s a lot easier to stay on top of everything in your business. A real estate assistant can handle the calls and emails that come in and only direct the ones that need your personal touch to you. A real estate assistant can manage your daily calendar and make sure that you don’t end up overbooked (or, worse, forgetting to meet with a client).

When you’re in the habit of being your own real estate agent, you’re not able to give your business your best. You can’t focus on the activities that you really enjoy, not to mention the tasks and responsibilities that boost your bottom line.

Being your own assistant may have worked in the past, but the more that your business grows the less it’s going to work for you. Bring on a real estate assistant and see for yourself just how much easier it can be to do your job.

Why Hire a Real Estate Assistant?

Saturday, October 27th, 2007

When your business is in real estate there are going to be times when you just need an extra set of hands in the office, an extra pair of eyes to make sure that everything is in order and an additional sharp mind that can look into the future and help you foresee what needs to be done so that any potential crisis can be averted.

You may be tempted to just bring on any assistant who can take care of administrative tasks like answering the phone and maintaining your calendar. You may think that just about anyone can update your websites or coordinate listings. You might also think that you can focus your attention on training someone so that they know what to expect and can help you anticipate what might happen.

But when you really start thinking about it, you’ll find that hiring just anyone to help you out isn’t the best idea for your real estate business: it would prove far better to hire a real estate assistant – someone who has already had experience in real estate, someone who will be able to just jump in and run with what needs to be done.

When you bring a real estate assistant onto your team, you’ll find that you’re getting someone who can take care of the administrative stuff, but you’ll also realize that you’ve got something far greater than that: someone who can understand and focus on the parts of your business that will really give you hand where it counts – those tasks that will have a more positive impact on your bottom line.

A Real Estate Virtual Assistant Can Help Crowd Your Office with Clients not Staff

Thursday, October 25th, 2007

Here’s a question for those of you who are working in real estate: when your office feels cramped because there’s a lot going on, is it because of the number of people who are working in the office to make things go smoothly, or is it because you’ve got clients coming in who are anxious to buy or sell a home?

It’s great to have a large, active business. It’s good to have the administrative support that you need, it’s good to have a great website, a great list for email marketing, great print materials and thorough listing coordination.

However, it’s not quite as good to have an office that is jam packed with people who are trying to meet the needs of the clients. That’s why having a real estate virtual assistant is so beneficial to many real estate professionals.

When you bring on a real estate virtual assistant, you’ll find that your administrative, marketing and listing coordination needs are met, but you won’t have to have someone who is working in your office in order to make it happen.

As a result, all the work will still be done. You’ll have a partner who is working for you, but you’ll also have more space to move around – creating a more comfortable environment for yourself and your clients.

5 Things a Real Estate Assistant Can Do to Help Your Business

Wednesday, October 24th, 2007

If you’re like just abut every other real estate professional out there, there are things that you know could help your business to operate more smoothly. The problem isn’t that you don’t know what else you could do for your clients and for your business; the problem is that there just aren’t enough hours in the day to get things done – at least not as long as you’re trying to do everything yourself.

Here are 5 things that a real estate assistant can do to help your business:

  1. A real estate assistant can help to bring in more referrals when you put her in charge of keeping in touch with buyers and sellers after the sale.
  2. A real estate assistant can take charge of making sure that all of your listing information is accurate and up to date.
  3. A real estate assistant can market your business online with a great website, articles, a blog, press releases and targeted PPC campaigns to bring in new clients from the web.
  4. A real estate assistant can work with photos of a given property to create a virtual tour so that far away buyers who may have an interest in the property can see inside without having to travel up front.
  5. A real estate assistant can keep track of your books – the money going out, the money coming in, paying invoices or other book keeping tasks so that you can focus on making money rather than managing it.

Of course, these five services are just a few that can be provided – it all depends on what you and your business need.

A Real Estate Assistant Can Help to Fill in the Cracks of Your Business

Tuesday, October 23rd, 2007

Every business out there has cracks in it. That doesn’t mean that it’s beyond repair – it just means that it’s important to notice where the problems are and to fix them before they get out of hand.

Think of your business as a highway – a road that takes you from the beginning of your career to all of the success that you want to have. Just like a highway maintenance crew can go out and repair cracks in an actual road, a real estate assistant can help you to fill in the cracks of your business.

Let’s say that your clients seem frustrated that they don’t have someone to talk with if you’re out in the field: a real estate assistant can answer the phones and keep your clients at ease. Let’s say that you’re great at selling homes, but you don’t really have an eye for styling the home to sell: a real estate assistant can help you with home staging, giving your clients an extra perk that your competitors may not offer.

Don’t let the cracks in your business cause you to lose clients. Take the time, see where you could be doing more and bring on a real estate assistant who can work with you – someone who can fill in the cracks before they become gaps – and make sure that the road to your real estate success is as smooth as possible.

Choose a Real Estate Assistant Who Gets the Job Done

Monday, October 22nd, 2007

As a real estate professional, your business can be broken down into the following areas:

  • Listing presentations – both in print and online – that can help you to attract more sellers by showing off your services
  • Database management – you need to know what types of contacts you have as well as the best ways to keep in touch with them for the sake of following up with past buyers and sellers and following up after the sale
  • Marketing your business – in print and online as well as marketing particular services that you offer, using newsletters, email, websites and blogs to get the word out
  • Transaction management – keeping buyers and sellers on top of the process from beginning to end
  • Managing your budget – keeping track of expenses and income and helping your clients to do the same with mortgage calculators while they’re getting ready to bu

If you fall behind in any one of these areas, you’re likely to find that your business suffers. A real estate assistant can help you to keep up in one or all of these areas so that you can be sure that you’re getting the job done.

Need help with keeping the books because numbers just aren’t your thing? Let a real estate assistant keep them for you. Need to keep your clients on the same page throughout (and even after) the process? A real estate assistant can prove invaluable.
